Job Description:

Roles & Responsibilities:

  • Perform a wide range of administrative duties, including managing correspondence, answering phone calls, scheduling appointments, organizing meetings, and maintaining files and records.
  • Oversee the day-to-day operations of the office, ensuring that supplies are adequately stocked, equipment is maintained, and office spaces are clean and organized.
  • Serve as a point of contact for internal and external stakeholders, facilitating communication between departments, employees, and clients. Coordinate meetings, conferences, and travel arrangements   when necessary.
  • Prepare and edit various documents, such as reports, memos, presentations, and correspondence, ensuring accuracy, consistency, and adherence to organizational guidelines.
  • Maintain and update databases, spreadsheets, and other records, ensuring data integrity and confidentiality. Generate reports and analyze data as needed.
  • Assist in HR-related tasks, such as maintaining employee records, coordinating recruitment processes, and organizing employee orientation programs.
  • Assist in managing financial activities, such as processing invoices, expense reports, and reimbursements. Collaborate with the finance department to ensure accurate record-keeping.
  • Liaise with vendors and suppliers, negotiate contracts, and maintain good working relationships to ensure timely delivery of goods and services.
  • Make travel arrangements, including flights, accommodations, and transportation, for employees or visiting guests.
  • Assist in planning and organizing company events, meetings, workshops, or conferences, including logistical arrangements and coordination with participants.

Qualifications and Skills:

  • Any Graduate and Masters in Healthcare Administration
  • Proven experience in an administrative or executive support role.
  • Strong organizational and multitasking abilities with exceptional attention to detail.
  • Excellent communication and interpersonal skills.
  • Proficiency in MS Office applications (Word, Excel, PowerPoint) and other relevant software.
  • Familiarity with office equipment and basic troubleshooting.
  • Ability to handle sensitive and confidential information with integrity.
  • Self-motivated, proactive, and able to work independently as well as part of a team.
  • Flexibility to adapt to changing priorities and handle pressure in a fast-paced environment.
