Job Description:
Roles & Responsibilities:
- Perform a wide range of administrative duties, including managing correspondence, answering phone calls, scheduling appointments, organizing meetings, and maintaining files and records.
- Oversee the day-to-day operations of the office, ensuring that supplies are adequately stocked, equipment is maintained, and office spaces are clean and organized.
- Serve as a point of contact for internal and external stakeholders, facilitating communication between departments, employees, and clients. Coordinate meetings, conferences, and travel arrangements when necessary.
- Prepare and edit various documents, such as reports, memos, presentations, and correspondence, ensuring accuracy, consistency, and adherence to organizational guidelines.
- Maintain and update databases, spreadsheets, and other records, ensuring data integrity and confidentiality. Generate reports and analyze data as needed.
- Assist in HR-related tasks, such as maintaining employee records, coordinating recruitment processes, and organizing employee orientation programs.
- Assist in managing financial activities, such as processing invoices, expense reports, and reimbursements. Collaborate with the finance department to ensure accurate record-keeping.
- Liaise with vendors and suppliers, negotiate contracts, and maintain good working relationships to ensure timely delivery of goods and services.
- Make travel arrangements, including flights, accommodations, and transportation, for employees or visiting guests.
- Assist in planning and organizing company events, meetings, workshops, or conferences, including logistical arrangements and coordination with participants.
Qualifications and Skills:
- Any Graduate and Masters in Healthcare Administration
- Proven experience in an administrative or executive support role.
- Strong organizational and multitasking abilities with exceptional attention to detail.
- Excellent communication and interpersonal skills.
- Proficiency in MS Office applications (Word, Excel, PowerPoint) and other relevant software.
- Familiarity with office equipment and basic troubleshooting.
- Ability to handle sensitive and confidential information with integrity.
- Self-motivated, proactive, and able to work independently as well as part of a team.
- Flexibility to adapt to changing priorities and handle pressure in a fast-paced environment.
