Job Description:
Job Overview: A personal secretary is responsible for providing high-level administrative support to an individual, assisting in managing their daily activities, and ensuring smooth communication and coordination.
Key Responsibilities:
- Calendar Management:
- Schedule and organize appointments, meetings, and events.
- Keep track of deadlines and remind the employer of upcoming commitments.
- Communication:
- Screen and prioritize incoming calls, emails, and other correspondence.
- Draft and prepare emails, letters, reports, and other documents on behalf of the employer.
- Travel Arrangements:
- Make travel arrangements, including booking flights, accommodations, and transportation.
- Prepare travel itineraries and ensure all necessary arrangements are in place.
- Document Management:
- Organize and maintain files, records, and documents.
- Assist in preparing presentations and reports.
- Meeting Support:
- Attend meetings, take minutes, and provide administrative support during discussions.
- Prepare meeting agendas and ensure necessary materials are available.
- Office Management:
- Coordinate office activities and manage administrative tasks.
- Order office supplies and maintain office equipment.
- Confidentiality:
- Handle sensitive information with discretion and maintain confidentiality.
- Task Prioritization:
- Prioritize tasks and deadlines to ensure efficiency in daily operations.
Qualifications:
- Proven experience as a personal secretary or in a similar role.
- Strong organizational and multitasking skills.
- Excellent verbal and written communication skills.
- Proficient in office software and technology.
- Discretion and the ability to handle confidential information.
- Attention to detail and accuracy.
Education:
- A degree in business administration, secretarial studies, MBA or a related field may be preferred.
